Terms & Conditions
From September 2025

Most design projects run smoothly, but occasionally something unexpected may come up. These terms and conditions are here to protect both of us and make sure everything is handled fairly and clearly.  By accepting a quote or placing an order online, you are agreeing to these terms and conditions in full.

 

a) Quotes

Quotes are prepared based on the details you provide at the time. If certain information (such as exact quantities) isn’t confirmed, adjustments can be made and the final price will be updated at sign-off.

a1) Validity

All quotes are valid for 30 days from the date of issue.

b) Payment Terms

To get started, a 50% non-refundable deposit is required once you confirm you’d like to go ahead with your order. This secures your booking, covers initial work, and forms a contract between you (the client) and Dainty Bee Design. The remaining balance is due once you’ve approved the final artwork and must be paid within 7 days of receiving your invoice. Please note: nothing will be sent to print/production until full payment has been received.

b1) Variations

If any details change from the original quote (for example, quantities or specifications), the final balance may be adjusted. You’ll always be kept updated if this happens.

c) Cancellations

If at any stage you feel unhappy with the direction of the work, you can cancel your order in writing. You’ll only be charged for the work completed up to that point.

c1) Pebble Art & Printed Pictures

For prepaid pebble art and printed picture orders: - If work has started but has not yet been posted, you’ll receive a 50% refund. - If work has not yet started, you may be entitled to a full refund.

d) Project Cancellation by the Client

You are free to cancel a project once it has begun. You will only be billed for the work completed up to that point (if this is not already covered by your deposit). Any completed work will be handed over to you.

d1) By Dainty Bee Design

If I need to cancel a project, I will provide you with all completed work up to that point and refund any payments made for unfinished work.

e) Proofs & Revisions

Proofs are emailed free of charge. Typically, it takes 2–4 rounds of proofs to finalise artwork, and this is included in your fee. Reasonable adjustments are welcome, but if lots of extra changes are requested outside the normal process, a small additional charge may apply to cover the extra time. I’ll always discuss this with you before moving ahead.

f) Final Proof & Approval

Once you approve your design, it is considered final. By approving, you confirm that you have carefully checked all spelling, details, and content. You are fully responsible for the approval you provide. All proofs must be approved before artwork can be released for print - no exceptions. Any changes requested after final approval may incur additional costs, especially if the artwork has already gone to print.

f1) Errors Missed in Proofs

If an error created by Dainty Bee Design is present in your proof but not flagged before approval, it will be considered approved and remain your responsibility. Please check your proofs carefully.

f2) Errors After Final Approval

If an error occurs after final approval that is the fault of Dainty Bee Design, it will be corrected and re-supplied at no extra cost.

g) Printing & Postage

Artwork sent to third-party printers is professionally prepared, fully checked, and supplied as print-ready artwork. This service is included in your costs. Postage will also be included if required.

g1) Reprints

Exact reprints of previous artwork created by Dainty Bee Design will cost less than the original order, as the setup work has already been completed.

h) Pebble Art & Printed Pictures

Pebble art and printed pictures are sold at a fixed price, as listed on the Dainty Bee Design website and on selected third-party websites. Please note that prices on the Dainty Bee Design website are often lower, as third-party sites include additional selling fees and charges. 

i) Proofs for Pebble Art & Printed Pictures

Proofs can be requested and must be approved before work begins. If a proof is sent and no response is received, a follow-up email will be sent with a cut-off time. If no reply is received by this deadline, the item(s) will be created based on the latest proof provided. It is your responsibility to approve any proofs you request. Dainty Bee Design cannot be held responsible for incorrect artwork not approved within the timescales provided. Please note: third-party providers often have strict deadlines which I must follow.

i1) Clarification Proofs

Occasionally, proofs may be sent to confirm order details. In these cases, the same conditions outlined in sections e) and f) apply.

j) Copyright & Ownership

All artwork created by Dainty Bee Design remains the copyright of Karen @ Dainty Bee Design. This means approval must be obtained before copying, duplicating, or using the artwork for anything other than its intended purpose.

j1) Client-Supplied Content

By providing text, graphics, photos, designs, trademarks, or any other artwork for your project, you confirm that you either own these materials or have permission to use them.

k) Use of Artwork for Promotion

Dainty Bee Design may share artwork from your order on social media, in advertising, or in other promotional materials. If you’d prefer your artwork not to be used in this way, just let me know and I’ll be happy to respect your wishes.

l) Legal Information

While every effort is made to ensure accuracy, I cannot guarantee that all work will be completely error-free. As such, Dainty Bee Design cannot be held liable to you or any third party for damages, including lost profits, lost savings, or any incidental, consequential, or special damages, even if you have advised me of them. Please refer back to section f) regarding the importance of checking your proofs carefully prior to approval. Finally, if any part of this agreement is found to be unlawful, void, or unenforceable for any reason, that provision will be considered separate from the rest of the contract, and the remaining provisions will continue to be valid and enforceable.

m) Turnaround & Deadlines

Estimated turnaround times will be agreed at the start of the project. Please note that delays in providing feedback, approvals, or required content (such as text or images) may extend delivery times. While I always aim to meet agreed deadlines, timings may also depend on third-party suppliers and external factors.

n) Communication

To keep everything clear and in one place, all project communication should be made via email. This ensures a full record of discussions, feedback, and approvals is always available for both of us.

o) Files & Formats

Final artwork will be provided in standard formats suitable for your project (for example, print-ready PDFs, JPEGs, or PNGs). Editable source files (such as Adobe InDesign, Illustrator, Photoshop & RAW files) are not included as standard but can be supplied for an additional fee if required, with the exception of RAW files.

p) Force Majeure (Unexpected Events)

Dainty Bee Design cannot be held responsible for delays or disruptions caused by circumstances beyond my control. This includes (but is not limited to) illness, technical issues, postal delays, courier strikes, or supplier problems. If such a situation arises, you’ll be kept fully informed and a revised timeline will be agreed where possible.

q) Privacy & Data Protection

Any personal data you provide will only be used for processing and completing your order. Your details will never be sold or shared with third parties, except where necessary to fulfil your order (for example, with trusted print suppliers or delivery services).

r) Payment Methods & Late Payments

Payments can be made via the methods stated on your invoice (typically bank transfer or PayPal). The remaining balance must be settled within 7 days of the invoice date unless otherwise agreed in writing. If payment is not received within this timeframe, Dainty Bee Design reserves the right to pause any ongoing work and/or apply a late payment fee. Please note that items may not be released to print or delivery until full payment has been received.

Pebble Art & Prints - further information

Personalised Pebble Art - General Information
  • Pricing: All Pebble Art Pictures are charged per picture, not per pebble person. Whether your design includes two people, eight people, or even a cat — the price stays the same.

  • General Pebble GuidelinesAdults are usually represented with larger pebbles. Males are typically darker pebbles, females are usually lighter.

  • Names (if included) run from left to right.

  • Wedding Pebble Pictures are created as Bride and Groom as standard. If you’d like Groom/Groom, Bride/Bride, or any other specific details (e.g. “the groom is tall and slim, the bride is short and plump”), please make sure to note this clearly when ordering.

  • Customisation & Interpretation: Unless you provide details about age, size, or gender, pebbles will be chosen at Dainty Bee Design’s discretion. If no particular requirements are given, I cannot be held responsible for differences in interpretation.

  • Pets: If you’d like pets included, it’s best to send a photo with your order to help me create a closer likeness. Please note, pebbles are natural materials, so exact colours or shapes cannot be guaranteed.

  • Natural Materials:  Each piece is created using natural materials (pebbles, shells, driftwood, etc.), which all vary in size, shape, and colour. These variations are what make each picture unique. Your design may differ slightly from the samples shown online, as every piece is individually crafted.

  • Proofs & Queries: If I have any questions about your order, I may get in touch with you for clarification. In some cases, a free proof will be sent before I proceed.

Personalised Printed Art - General Information
  • Pricing: All Printed Art Pictures are charged per picture, not per person.

  • General Guidelines: Adults are generally shown larger than children.

  • Names: (if included) will be arranged from left to right.

  • Wedding Pictures are created as Bride and Groom as standard. If you would prefer Groom/Groom or Bride/Bride, please let me know when placing your order.

  • Customisation & Interpretation: Unless you specify details such as age, size, gender, or colour, images will be chosen at Dainty Bee Design’s discretion. For orders without specific requirements, Dainty Bee Design cannot be held responsible for differences in interpretation.

  • Proofs & Queries: If I need clarification about your order, I may contact you before proceeding. In some cases, a free proof may be sent for your approval before work continues.

Turn around times
  • Times: Most personalised picture gifts are created and ready to dispatch within 2–4 working days.
    During busier periods (such as holidays) this may take a little longer, while at quieter times it may be quicker.

  • Need It Sooner? I always aim to provide a great service. If you need your order more quickly, please let me know before you place your order. I’ll do my best to accommodate urgent requests — while it’s not always possible, it often can be arranged.

Delivery Information
  • UK Postage: Free Royal Mail 2nd Class postage is included with every personalised framed gift going to a UK address. Delivery usually takes 3–4 working days from dispatch. 

  • Upgrade to 1st Class Signed for a quicker service, which normally arrives within 1–2 working days.

  • Tracking: All parcels (UK and international) are sent with a Royal Mail reference number. This acts as proof of posting and will update once delivery has been completed.

  • Delivery Times: Please note that delivery times cannot be guaranteed once your parcel has been handed to Royal Mail (or another courier). For updates or possible delays, please check the Royal Mail website directly.

  • International Postage: Worldwide delivery is available, with costs and timings varying depending on the destination. If your country is not listed on the website, please get in touch for a custom quote.

  • Important (Non-UK Orders): Due to Brexit, customs charges may apply when your order arrives in your country. These fees vary and are the responsibility of the buyer. For Etsy purchases, customs charges are collected upfront at checkout.

Frame Information
  • Sustainably Sourced: All frames are sourced from a UK family-run business that has been manufacturing picture frames for over 25 years. They share Dainty Bee Design’s commitment to recycling and sustainability.

  • Sizes: Frames are measured in inches from the inside edge. This means the overall frame size is approximately 1 inch larger than the size stated.

  • Design & Safety: Frames can be hung or stood up, and are fitted with crystal-clear perspex instead of glass, making them safer for posting.

  • Material: Frames are made from Polcore®, an environmentally friendly material created from recycled polystyrene. This polystyrene is recovered mainly from the electronics and food packaging industries, helping reduce waste. Most frames feature a clean, brushed textured finish (with the exception of the A4 Oak effect).

  • Availability & Lead Time: As frames are handmade, high demand may occasionally make them temporarily unavailable. Please allow a couple of weeks for frames to be produced and delivered — but I promise, they’re worth the wait!

Print and Proofs
  • Quality Printing: All pictures and images are printed on premium 300gsm card using HD inks (unless otherwise specified). For in-house printing, I use Ultrachrome HD pigment inks, which are Giclée quality. This means your prints will have excellent colour accuracy and long-lasting durability.

  • Proofs:  Free proofs are available upon request. (Please the Terms & Conditions for full details.)

Alterations, Errors, Returns and Damage

Alterations to an Existing Design: Families grow, circumstances change — and your picture can too. If you’d like alterations made to an existing design, this can usually be arranged. There is a charge for this service, which includes return postage. Please contact me for details.

Errors: My error: If I’ve made a mistake with your picture, I will correct it free of charge. Customer error: If the error was due to information provided incorrectly, a small fee will apply to cover correction and return postage (UK only).

Returns: Personalised items are non-refundable. For non-personalised items, or if you have any questions or concerns, please contact me to discuss returns or queries.

Damaged Pictures: I take great care when packing, but sometimes items can still get damaged in transit. If your picture arrives damaged, please contact me and I’ll be happy to help. Packages are padded and secured carefully, so damage is rare — but I’ll always make it right if it happens.

Lost or Missing Parcels: Royal Mail are usually very reliable, but delays do sometimes happen, especially during busy periods like Christmas. If your parcel hasn’t arrived, please first check with your local Royal Mail depot to see if it’s being held there. After 18 days, undelivered mail is usually returned to me. If I receive your return, I’ll contact you straight away. If your parcel hasn’t arrived with me after around 25 days, I can raise a claim with Royal Mail. If the claim is accepted, I’ll either issue you a full refund or send a replacement picture. Please note: this process takes some time, but I’ll keep you updated and will make sure you’re never left without either your picture or your money back.

A Friendly Note: Whatever the situation — whether it’s a query, a damaged item, or a parcel that’s gone astray — please don’t hesitate to contact me. I’ll always do my best to resolve the issue quickly and fairly.

Replacement Frames and Perspex

Replacement frames and perspex are available. Please contact me for a price including postage.

Social Media

A photo is taken of every picture I create. These photos are often shared on Dainty Bee Design’s social media pages to showcase my work (if I know your event date, I’ll usually post afterwards to avoid spoiling the surprise).

If you’d prefer your picture not to be shared — or would only like it posted after a certain time — just let me know when placing your order and I’ll be happy to respect your wishes.

Other Information

All designs created by Dainty Bee Design remain the copyright of Karen @ Dainty Bee Design. From time to time, a design may be altered or adapted without prior notice.

Please note that bespoke (custom) designs may also be used as inspiration for future creations and may later form the basis of a new design available for purchase on selling platforms.

The Environment

At Dainty Bee Design, caring for the environment is at the heart of what I do. That’s why all packaging and materials are chosen with sustainability in mind. Wherever possible, I use eco-friendly options that are recycled and/or recyclable.

Recycling information is included with every order to help you dispose of materials responsibly. I also recycle and re-use packaging wherever I can — and I kindly encourage you to do the same where possible. Together, we can make a positive difference. 💛
